The Position

This position is a 12-month, full-time position, and is eligible for benefits. The Mail Services Manager oversees daily operations of Mail Services, manages logistics (ex: receiving mail and packages and on-campus delivery), trains and supervises student staff, sets the standard for excellent guest service, and is the primary point-of-contact for campus and external guests for mail-related business.

Key Responsibilities:

  • Assists in the training, scheduling and supervision of the student workers
  • Performs routine duties as needed including receipt and dispersal of incoming U.S. Mail, Amazon, FedEx, UPS and others, metering of outgoing mail, pick up and distribution of interdepartmental mail, forwarding mail in a timely manner
  • Processing transactions at the cash register using Federal postal guidelines to insure each item has adequate postage while using proper cash handling techniques
  • Perform opening and closing duties, including daily deposits
  • Follows through on operational and strategic tasks and direction provided by Associate Director, and contributes to the planning and implementation of new initiatives or process improvement
  • Assists in keeping accurate records, including logging invoices, managing payments through procurement software, and other means of reporting
  • Provide coaching and performance reviews of student personnel to help students learn key job skills and professionalism in the workplace
  • Responsible for assignment of campus mailboxes and the proper distribution of the related information
  • Stays abreast of all mailing regulations
  • Assists the coordination with processing all types of mailings including bulk mailings
  • Responsible for maintaining a pleasant, professional working relationship with all customers, coworkers and campus community members
  • Performs other tasks as assigned or as required by the position to support operations and align with department and campus objectives

Education, Experience, Skills, and Abilities:

  • High school diploma or equivalent
  • Ability to read numbers correctly
  • Ability to use computer-based productivity software (i.e. Microsoft Office, Pitney Bowes SendSuite, invoicing and procurement software, etc.)
  • Previous experience in a mail room preferred
  • Valid Virginia driver’s license and ability to obtain Roanoke College vehicle driver certification is required.
  • While operations are generally MON-FRI, there are infrequent, although periodic, occasions where weekend and evening work are required.
